Proposals and Reporting

In the DAO Experimentation Program, proposals and reports are the main tools we use to coordinate, act, and learn as a collective. Every DAO member has the ability to suggest actions and share what they’ve done.

There are two layers of reporting in the DAO Experimentation Program:

  • Participant Action Reports: submitted individually after each proposal is executed
  • DAO-Level Summary Reports: submitted by facilitators mid-program and at the end

This page outlines how to submit a proposal, how voting works, and how to report on completed actions.

 

What Is a Proposal?

A proposal is a short plan for an action that helps your DAO achieve its goal. It includes:

  • What you want to do
  • How it supports the DAO’s mission
  • What resources or budget you need
  • Who will do it
  • What outcomes you aim for

You can propose solo or as a small team. Proposals should be simple, clear, and doable within the program timeframe.

 

Proposal Template

You can submit proposals with budget requests via the Send Token voting feature on XDAO, following this structure:

  • Title: Short and descriptive
  • Submitted by: Your name(s)
  • DAO: The DAO you’re proposing to (e.g. Grow Together DAO)
  • Goal: What you want to do and why
  • Budget Requested: Amount (max guidelines will be shared per DAO)
  • Execution Plan: Steps, timeline, who’s involved
  • Expected Outcome: What success looks like
  • Support Needed: Any help required (translation, tech, etc.)

You can also link a photo, map, document, or short video if helpful.

 

Example Proposals per DAO

Grow Together DAO

Title: Plant 100 Trees in Bac Ninh with Youth Group
Submitted by: Linh Nguyen
DAO: Grow Together DAO
Goal: Engage local youth in a one-day planting campaign to contribute to the 1,000-tree targetBudget Requested: $250

  • $150 for 100 saplings
  • $50 for transportation
  • $50 for team refreshments

Execution Plan:

  • Coordinate with a local high school environmental club
  • Purchase saplings from a local nursery
  • Host planting event in a public park on July 14
  • Take photos and log exact locations

Expected Outcome: 100 trees planted with youth involvement, 10 photos submitted, GPS locations mapped

Nourish DAO

Title: Community Meal Drive in Kuala Lumpur
Submitted by: Amirah Yusof
DAO: Nourish DAO
Goal: Prepare and deliver 100 healthy meals to elderly and migrant workers in Pudu area
Budget Requested: $300

  • $180 for ingredients
  • $70 for packaging
  • $50 for delivery (volunteer fuel & parking) 

Execution Plan:

  • Collaborate with a local mutual aid network
  • Cook in shared community kitchen
  • Distribute meals within 2 hours to 3 known care points
  • Document delivery with photos and recipient quotes 

Expected Outcome: 100 meals delivered, 20 photos, 3 short recipient testimonials

Support Needed: KAT tracker walkthrough for team

 

Connect DAO

Title: 20 TECD Sessions on Digital Literacy with Seniors
Submitted by: Samuel Tran
DAO: Connect DAO
Goal: Facilitate 20 meaningful TECD sessions to teach seniors basic phone and internet use
Budget Requested: $200

  • $120 for part-time coordinator
  • $50 for internet data support
  • $30 for scheduling tool 

Execution Plan:

  • Match 10 seniors with 10 youth facilitators
  • Host 2 sessions per pair over 2 weeks
  • Record attendance and feedback per session
  • Share insights and photos (with consent) 

Expected Outcome: 20 sessions logged, 10 reflection summaries submitted, 10 photos uploaded

Support Needed: Help translating the post-session feedback form into Vietnamese

 

Reflection DAO

Title: Story Circle: What the Trees Taught Me
Submitted by: Diana Le
DAO: Reflection DAO
Goal: Create a safe space for members of Grow Together DAO to reflect and share personal stories
Budget Requested: $80

  • $30 for Zoom Pro (1 month)
  • $50 for transcription and editing support 

Execution Plan:

  • Invite 8–10 participants from Grow Together DAO
  • Facilitate a 1-hour story circle in English and Vietnamese
  • Transcribe and summarize 3 stories
  • Add 1 to final showcase zine

Expected Outcome: 3 polished stories, 1-page summary, audio clip from session

Support Needed: Story review from Reflection DAO editor

Proposal Submission Process

  1. Draft your proposal using the provided template
  2. Submit it to your DAO via XDAO platform (Send Token voting feature)
  3. Your proposal is reviewed by other DAO members
  4. A voting period opens (usually 3–5 days)
  5. If approved, funds are disbursed and action can begin

DAO facilitators may help manage deadlines and guide first-time proposers.

 

Voting on Proposals

All DAO members have equal voting power. Voting can be done through XDAO. 

Voting options are usually:

  • Yes
  • No
  • Abstain

A proposal will pass with quorum 50%, defined by each DAO.

 

After Approval: Execution Guide

Once a proposal is approved:

  1. Receive Funds: XDAO will execute the transfer to your wallet based on the approved amount.
  2. Coordinate Your Action: Use internal channels (Discord) to update your team and get support.
  3. Document While You Work: Take photos, keep notes, save receipts if relevant.
  4. Share Quick Updates: Let your DAO know if you run into challenges or need to adjust your plan.
  5. Submit Your Report: Use the DAO Report Submission Form and provide links to documentation. Reports are lightweight and focused on clarity, not perfection.
  6. Support Others: If you’re done early or have extra capacity, support another DAO member’s project or help them document.

  • Date(s): When it happened
  • Team: Who was involved
  • Photos / Files: Link to visual or file evidence
  • Budget Used: How the funds were spent
  • Reflections: What worked, what was hard, what surprised you

You may also submit a personal reflection to the shared Reflection DAO archive.

 

Where to Submit

Each DAO has:

  • A proposal submission space: XDAO
  • A Report Submission Form
  • A Drive shared folder of 
    • Report and KAT tracker sheet
    • Collected reports 

DAO-specific links will be provided via Discord.

DAO facilitators will support with reminders and clarity.

 

DAO Summary Reports

Each DAO is asked to submit:

  • First Round Summary Report (September)
  • Final DAO Report (October)

These are submitted by DAO facilitators and used to evaluate the progress and outcomes of the DAO as a whole.

All proposals, votes, and expenses are automatically recorded via the DAO’s XDAO platform. DAO Facilitators assist in coordinating reporting for program-level summaries.
