DAO Experimentation Program – Documentation

Proposals and Reporting

Estimated reading: 6 minutes 90 views

In the DAO Experimentation Program, proposals and reports are the main tools we use to coordinate, act, and learn as a collective. Every DAO member has the ability to suggest actions and share what they’ve done.

There are two layers of reporting in the DAO Experimentation Program:

  • Participant Action Reports: submitted individually after each proposal is executed
  • DAO-Level Summary Reports: submitted by facilitators mid-program and at the end

This page outlines how to submit a proposal, how voting works, and how to report on completed actions.

What Is a Proposal?

A proposal is a short plan for an action that helps your DAO achieve its goal. It includes:

  • What you want to do
  • How it supports the DAO’s mission
  • What resources or budget you need
  • Who will do it
  • What outcomes you aim for

You can propose solo or as a small team. Proposals should be simple, clear, and doable within the program timeframe.

Proposal Template

You can submit proposals following this structure:

  • Title (60 characters): Proposal [Proposal name] by [Participant name]
  • Submitted by: Your name(s)
  • DAO: The DAO you’re proposing to (e.g. Grow Together DAO)
  • Goal: What you want to do and why
  • Budget Requested: Amount (max guidelines will be shared per DAO)
  • Execution Plan: Steps, timeline, who’s involved
  • Expected Outcome: What success looks like
  • Support Needed: Any help required (translation, tech, etc.)

You can also link a photo, map, document, or short video if helpful.

Proposal Submission Process

DAO participants submit funding or action proposals via the Create Proposal voting feature on XDAO. This enables a clearer, time-bound decision-making process.

  1. Draft Proposal using the template provided.
  2. Submit via Create Proposal on XDAO with a 7-day voting period.
  3. Your proposal is reviewed and voted by other DAO members
  4. Once quorum is met and the proposal is passed, a Send Token vote will be initiated to transfer 60% of the requested budget.
  5. After execution, submit a completion report.
  6. A second Send Token vote is initiated for the remaining 40% payout, contingent on report acceptance.

This 60-40 funding model promotes accountability while enabling execution support.

DAO facilitators may help manage deadlines and guide first-time proposers.

Voting on Proposals

All DAO members have equal voting power. Voting can be done through XDAO.

DAO members vote Yes / No within the 7-day period.

Once voting ends and quorum is met, a Send Token vote is used for actual token transfers (60% after voting, 40% after reporting)

A proposal will pass with quorum 34%, defined by each DAO.

After Approval: Execution Guide

Once a proposal is approved:

  • Receive Funds: After passing the Create Proposal vote, the DAO facilitator will initiate a Send Token vote to transfer 60% of the requested budget to your wallet.
  • Coordinate Your Action: Use DAO communication channels (e.g. Discord) to update your team and request support if needed.
  • Document While You Work: Take photos, note key activities, and save receipts if applicable.
  • Share Quick Updates: Keep your DAO informed. Let others know if you face challenges or need to adjust your plan.
  • Submit Your Report: Use the DAO Report Submission Form and include supporting links or media. Reports are meant to be simple and clear.
  • Receive Final Payout: DAO facilitators will review your report before initiating the 40% payout. If your report is incomplete or unqualified, the second payment will not be issued. You'll receive feedback if clarification is needed.
  • Support Others: If your project finishes early or you have spare time, offer support to others in your DAO or assist with documentation.

Impact Tracking Template

Facilitators are expected to maintain a running log of DAO impact outcomes using the Impact Tracking Template.

This complements individual proposal reports and ensures program-wide metrics can be tracked clearly.
