Ambassador Termination Policy

This policy applies to all Ambassadors in DEP 2 - both Internal Ambassadors (DAO Members) and External Ambassadors (Community Collaborators).

It ensures that the Ambassador role is held by individuals who maintain professionalism, alignment with DEP values, and constructive engagement.

This policy covers:

  • Grounds for termination

  • Review and decision process

  • Documentation requirements

  • Rejoining conditions

Ambassadors help represent DEP publicly; therefore, clear standards and boundaries are necessary.

1. Purpose of the Termination Policy

DEP Ambassadors engage with outside communities and represent Kambria DAOs.

This policy ensures that:

  • Outreach remains respectful and aligned with DEP values

  • Misalignment is addressed promptly

  • Kambria and DAOs are protected from reputation risk

  • Expectations remain transparent for everyone

Termination of the Ambassador role does not automatically terminate DAO Membership (for Internal Ambassadors), unless misconduct also violates DAO Member commitments.

2. Who Does This Policy Apply To?

This policy applies to:

  • Internal Ambassadors (DAO Members who take the Ambassador role)

  • External Ambassadors (non-member Community Collaborators)

Because Ambassador work involves public representation, the termination standards apply equally to both groups.

3. Grounds for Termination

Ambassadors may be removed from the role for any of the following reasons:

A. Misconduct or Misalignment

Includes:

  • Harmful, offensive, discriminatory, or inappropriate online content

  • Behavior that contradicts DEP’s values (respect, community, cultural sensitivity)

  • Misuse of the Kambria or DAO name

  • Sharing misleading information about DEP / Kambria

  • Public disputes or inflammatory posts connected to the program

B. Inactivity or Lack of Contribution

Ambassador role includes outreach and engagement. Termination may occur if:

  • No meaningful contributions after repeated check-ins

  • Missing all outreach activities for two consecutive months

  • No documentation of contributions submitted

  • No response to communication for 30+ days

Internal Ambassadors remain DAO Members but lose Ambassador status.

External Ambassadors may be removed entirely from Ambassador Circle.

C. Misrepresentation or Integrity Issues

Examples:

  • Falsifying outreach results

  • Submitting misleading documentation

  • Misusing Ambassador privileges

  • Claiming authority that has not been granted

  • Using the Ambassador title for personal commercial gain

D. Violations of the DEP Ambassador Code of Conduct

Including:

  • Disrespect toward community members

  • Harassment or boundary violations

  • Breach of trust

  • Confidentiality violations (if applicable)

  • Repeated unconstructive behavior

E. Organizational or Safety Concerns

Ambassador role may be terminated if:

  • The person’s community affiliation is found to be harmful or inappropriate

  • Safety concerns arise regarding the representative’s conduct

  • Conflicts of interest with DEP’s mission emerge

4. Termination Process

All Ambassador role termination decisions are made by the Kambria Core Team (DEP Organizer Team).

Process Steps:

  1. Identification: Issue identified by Kambria Core Team, DAO Leads, DAO Facilitators, or community members.

  2. Review: Kambria Core Team reviews public content, contribution logs, and relevant communication.

  3. Clarification (optional)

    • A short clarification message may be sent to the Ambassador (if appropriate).

    • Ambassador has 5 days to respond.

  4. Decision

    • Kambria Core Team makes the final call.

    • Decision categories:

      • Continue with a Warning

      • Temporary Pause (30–60 days)

      • Termination of Ambassador Role

      • Termination of DEP Participation (Internal Ambassador only, if serious violation)

  5. Notification

    • Ambassador is notified via email or direct message.

  6. Record Keeping

    • Decision is documented internally for transparency and future reference.

5. Effects of Termination

For Internal Ambassadors (DAO Members)

Termination affects only the Ambassador role, unless misconduct affects:

  • DAO commitments

  • Professionalism

  • Safety

  • Cultural sensitivity

  • Governance obligations

In those cases, termination from the DAO may also be reviewed under DAO Member Termination Policy.

For External Ambassadors

Termination:

  • Removes them from the Ambassador Circle

  • Ends access to Ambassador resources

  • Ends further KAT recognition for Ambassador role

  • Ends eligibility for Ambassador Certificate

Recognition Before Termination

Any contributions already made and documented before termination will still be recognized:

  • KAT already earned is not removed

  • Past contributions remain valid for reports

  • Certificates for completed periods may still apply (case-by-case)

6. Rejoining After Termination

A terminated Ambassador may apply again after 3 months, but must:

  • Re-submit the Ambassador Application Form

  • Undergo a stricter review

  • Show evidence of improved alignment

  • Pass additional checks on content and professionalism

Rejoining is not guaranteed.

7. Ambassador Role vs. DAO Membership (Important Distinction)

  • The Ambassador role is optional, and separate from DAO membership.

  • Termination from the Ambassador role does not automatically remove a DAO Member from the DAO.

  • DAO-related misconduct is handled under the DAO Member Termination Policy (separate page).

This separation maintains fairness and transparency.
